This policy explains what Robison Orthodontics collects through robisonsmiles.com, how we use it, and the choices you have. Robison Orthodontics is operated by Pateric LLC and has offices in Frederick and Middletown, Maryland.
What this policy covers
This policy applies to robisonsmiles.com and to the forms, emails, text messages, and phone calls that start from it, including giveaway and event sign-up pages.
Patient health information is covered separately. When you send us information to arrange care, and once you become a patient, that information is protected under HIPAA and handled according to our Notice of Privacy Practices. The Notice is posted on this site and available at both offices. Where this policy and the Notice differ on health information, the Notice controls.
Information we collect
Information you give us
- Consultation and contact requests: your name, email address, phone number, the patient’s name and age if the visit is for someone else, and anything you write in your message.
- Giveaway and event entries: your name, email address, phone number, ZIP code, and confirmation that you are 18 or older.
- Referrals: the name and contact details of a friend or family member you refer to us. Please ask them first.
- Calls and texts: your phone number, the date, time, and length of the call, and the content of texts you send us. Calls may be recorded for training and quality review. If a call is recorded, you will hear a notice at the start.
Information collected automatically
- Your IP address, browser and device type, the pages you view, the links you click, the site that sent you here, and the date and time of your visit.
- Your approximate location, at city level, based on your IP address.
- Which ad, search result, or page led to a call or a form submission.
Please leave payment card numbers and detailed medical history out of website forms and regular email.
How we use your information
- To answer your questions and schedule consultations and appointments.
- To send appointment reminders and messages about your care.
- To send practice news, offers, and event invitations if you have agreed to receive them.
- To run giveaways: confirm eligibility, select winners, and contact them.
- To see which pages and ads bring people to the practice, and to improve the site.
- To keep the site secure and to meet our legal obligations.
Cookies and analytics
The site uses cookies and similar tools, such as pixels and tags, to remember your settings, count visits, and see which pages and ads lead to calls and consultation requests. Some are set by us. Others are set by analytics and advertising providers, such as Google Analytics and the Meta Pixel. Advertising providers may use what they collect to show you our ads on other sites and apps.
These tools are set up so they do not receive what you type into our forms.
You can block or delete cookies in your browser settings, and the site will still work. To limit personalized ads, use the ad settings in your Google and Meta accounts. The site does not respond to browser Do Not Track signals.
Who we share information with
We do not sell your personal information. We share it only in these cases:
- Service providers that work for us: website hosting, form and scheduling software, email and text messaging, call tracking, analytics, and advertising. They may use your information only to do that work. Providers that handle health information sign a HIPAA business associate agreement with us.
- Legal requirements: when a law, subpoena, or court order requires it, or when needed to protect someone’s safety or our legal rights.
- A change in ownership: if the practice is sold or merged, your information transfers to the new owner under the same protections.
The site links to other sites, such as Facebook, Instagram, YouTube, and Google. Their own privacy policies apply once you leave our site.
Text messages and email
If you give us a mobile number, we may text you about your request, your appointments, and your care. We send marketing texts only if you have agreed to receive them. Agreeing to marketing texts is not a condition of becoming a patient or buying anything.
Message frequency varies. Message and data rates may apply. Reply STOP to any text to opt out, or HELP for help.
We do not share mobile phone numbers or text messaging consent with third parties or affiliates for their marketing purposes.
Every marketing email has an unsubscribe link. Opting out of marketing does not stop appointment and care messages.
Children
This site is written for parents, guardians, and adult patients. A parent or guardian should submit any request for a patient under 18.
We do not knowingly collect personal information online from children under 13, and we do not knowingly use information about anyone under 18 for targeted advertising. If you believe a child sent us information without a parent’s permission, contact us and we will delete it.
Your choices
You can ask us to:
- Tell you what personal information we hold about you and give you a copy.
- Correct it.
- Delete it.
- Stop sending you marketing emails and texts.
Email info@robisonsmiles.com or call (301) 662-0181. We will confirm your identity and respond within 45 days. Making a request will never affect your care or pricing.
Patient records follow our Notice of Privacy Practices and Maryland record retention law, so we may be required to keep them after a deletion request.
Security and retention
The site uses HTTPS encryption, and access to the information you send us is limited to staff and service providers who need it. No website or email system can be guaranteed secure, which is why we ask you to keep payment card numbers and detailed medical history out of web forms and regular email.
We keep consultation requests and giveaway entries from people who do not become patients for 24 months after our last contact, then delete them. We keep patient records for as long as Maryland law requires.
Changes to this policy
When we change this policy, we will post the new version on this page and update the effective date at the top.
